Your new challenge
The Document Controller is responsible for managing, organizing, and maintaining company documents in an accurate and secure manner. This role ensures that documentation is properly stored, easily accessible, and compliant with organizational and industry standards. The Document Controller will also support project teams by controlling the flow of documents, tracking revisions, and ensuring timely distribution of information.
Your new challenge will include:
Establish, implement, and maintain document control systems in compliance with internal requirements, ISO 9001, and other regulatory or client-specific quality standards.
Serve as the focal point for all document control and records management activities, ensuring consistency, accuracy, and traceability across all company and project documentation.
Provide document control support for internal and external projects, assisting senior/lead document controllers and coordinating with multidisciplinary teams.
Manage, maintain, and update the company’s Electronic Document Management System (EDMS), including accurate data entry, document numbering, labelling, version control, and distribution to internal and external stakeholders.
Ensure all documents are properly reviewed, approved, and filed in accordance with company procedures and retention policies, including archiving and project close-out documentation.
Monitor system compliance, conduct regular audits, generate reports, and ensure that document control processes meet corporate, contractual, and regulatory standards.
Support continuous improvement initiatives, focusing on digitalization, process optimization, and knowledge sharing.
Provide training and user support on document control systems, tools, and procedures.
Collaborate with management to ensure document control policies, procedures, and best practices remain current and effectively implemented.
What we would like from you
The successful Document Control Engineer must have proven ability to execute projects based on Document planning & analysis and provide effective support to the Project Team department in order to continuously improve project delivery of EPC contracts in the chemical and petrochemical industry. Excellent communication skills and the ability to work well with people at all levels is essential. Must have strong organizational, analytical, problem solving and management skills.
Technical Skills:
Experienced user of electronic document management systems (EDMS) such as Assai, Aconex, or equivalent tools.
Strong understanding of document numbering systems, version control, metadata management, and archiving principles.
Knowledge of ISO 9001 standards and quality management systems.
Familiarity with project documentation workflows within EPC / oil & gas project environments.
Experience preparing compliance reports, tracking document status, and conducting audits within document management systems.
Ability to support digitalization initiatives and process automation within document control.
Qualifications:
Bachelor’s degree or diploma in Administration, Business Management, or a related field (preferred).
5–10 years of experience in document control or project controls, preferably within large EPC or capital project environments.
Experience with Assai Tool is an advantage.
Proven understanding of corporate and project management requirements.
Additional language skills (Russian or Chinese) are an advantage.
Legal eligibility to work and reside in the EU and the Netherlands is mandatory.
